Remote connection to EMA IT Systems

The European Medicines Agency (EMA) provides instructions to staff members unable to connect to its networks while teleworking.

Remote access with EMA laptop and VPN software

The virtual private network (VPN) software enables seamless and secure remote access to EMA’s network.

Use the VPN software when working from home with your EMA laptop.

The software provides access to the following:

  • All network drives
  • DREAM
  • All applications available in a normal EMA-built PC

Desktop PC users cannot access the following with the VPN software:

  • Local C:\ drive on your EMA workstation
  • Special applications installed on your EMA workstation

Internet connection

Ensure that you have a good internet connection (e.g. at least 20MBits/s of download bandwidth and 10MBits/s of upload bandwidth). 

Keep in mind that the required bandwidth may increase depending on the tasks you're performing, such as heavy graphics usage, multiple open documents or audio streaming.

If you have no internet connection, you can only work offline.  

VPN software installed 

Ensure you have the remote access software - endpoint security VPN - installed on your laptop. Look for the padlock symbol (shown below) that indicates you have VPN software on your laptop.

If you are eligible to telework but do not have VPN on your laptop, please raise a ticket through the EMA Service Now

You should include following details in your request:

  • Issue type: ‘Request a service - Access, permission, content updates and password requests’
  • Subject: ‘Remote access software for teleworking’
  • Ssoftware: ‘Connect (remote hosted)’
  • Description: your laptop number or login name

Please note that trainees and interims are not eligible to telework, therefore they do not need to have this software on their laptop.

Remote access with personal laptop

If you urgently need to access the EMA network but don't have your EMA laptop with you, or if you're facing technical issues with your laptop or the VPN software, consider using Microsoft Virtual Desktop.

To do this, you need to have EMA Windows login credentials and you must have configured the multi factor authentication.

Guidance

Navigate to https://client.wvd.microsoft.com/arm/webclient/index.html and follow the steps:

  1. Enter your EMA credentials, email address and password
  2. Confirm the multi factor authentication (MFA) request
  3. Double click on the Virtual Desktop icon once you see resources assigned to your account
  4. Allow Access local resources when prompted 
  5. Enter your log in credentials once more

Email access with personal laptop

You can access your corporate email from a personal laptop by visiting https://outlook.office.com.

To do this, you must have the EMA Windows login credentials and you must have configured the multi factor authentication.

Support and contact

The EMA Service Desk can provide remote support when you are teleworking, if your are using your work laptop and you are able to connect to the internet.

The support applies to all applications on your laptop. 

Service Desk can also provide assistance over the phone, whenever possible.
